UniSpool®: advanced smart output and print management for SAP

UniSpool® for SAP® manages and monitors all print and output management tasks within your SAP® ERP environment in an easy-to-use and flexible manner. The solution ensures that documents generated through mySAP® Netweaver™ applications are efficiently managed and distributed to print devices or other applications. Each version of UniSpool supports all versions of SAP up to and including SAP S/4 HANA.

Why UniSpool for SAP®?

SAP® recognizes that the basic functionality built into mySAP® Netweaver™ is not sufficient for every user to successfully deliver R/3 documents. UniSpool® for SAP® provides an infrastructure that enables the central management of output traffic in heterogeneous, complex enterprise networks with distributed sites. The SAP-certified interface (based on BC-XOM) removes the need to make adjustments to the SAP applications.

Guaranteed document delivery

Reliable delivery of business-critical documents such as invoices, work orders, or status reports to end users remains critical, even in times of digitization. Without a print management system, SAP® users receive no feedback specifying whether a document has been printed or not. UniSpool® provides guaranteed delivery to the final destination and reports relevant job information back to the SAP® system. Even when print jobs are redirected to another printer, this is reported to the SAP® system. This ensures that SAP users are always aware of the status and location of their print jobs.

Scalable solutions for multiple platforms

UniSpool® for SAP® reduces the complexity of the SAP® spooling system by transferring the functions to UniSpool®. UniSpool is a standardized output and print management solution for all Unix/Linux, Solaris, HP-UX and Windows platforms. Up to 20,000 printers can be managed from a single server. The UniSpool user interface makes managing such a large environment a simple task. If you have a complex or large-scale output environment that runs on the Microsoft Windows platform, then the advice is to use the PrinTaurus module with equal functionality and a central graphic User interface. Thanks to the scalability of our solutions, you will only purchase the functionality that you actually use. Printing will once again be profitable without having to make concessions on quality.

Modular

Functionally, UniSpool consists of a number of modules, each of which is for a specific task. The primary building block for the UniSpool environment is the Management module, which offers the possibility to integrate the UniSpool functionality (including printing and managing printing jobs) in the SAP applications. Other modules that may be required or desired depend on the requirements and infrastructure of the printing environment.

Control over formatting, house style, and distribution

One of the most important supplementary functionalities of UniSpool is the Automated Distribution module, which supports all important formatting packages. This means that document layout can also take place outside your SAP environment. Documents will therefore be delivered without manual intervention in the specific house style and language of the customer, complete with the correct company logo and address information. Automated distribution functions give you control over how documents are distributed as well as delivered to the right place at the right time. This prevents print jobs from simply being printed or not being collected.

Overview in use

Another valuable module within UniSpool is the Advanced Management functionality. This provides graphical user interfaces to network administrators and help desk staff, so that they can quickly and easily control and monitor the entire printing network. In addition to the status per printer, the SAP user interface indicates how many documents are still in the queue or which devices are ‘problem printers’. Based on this, an administrator/Key User may decide to move a number of jobs to another printer. Furthermore, a global overview can be given of all print jobs for each printer – even if they are sent from multiple systems. If your organization uses network printers that can be accessed from multiple systems, this adds extra efficiency.

Security first

Securing sensitive data has become an even higher priority since the introduction of the AVG/GDPR. Examples of important risks in this respect are uncontrolled access to company equipment and missing printouts. This is why UniSpool offers maximum protection for printing confidential documents. All print data processed by UniSpool can be encrypted. When the requested data has to be stored on a server – temporarily or otherwise – the file is secured with encryption.
